Privacy Policy

Last updated: 1 June 2025. This policy explains how ABIS LOGISTICS LTD collects, uses, and protects personal data in accordance with UK GDPR and applicable data protection legislation.

1. Who We Are

ABIS LOGISTICS LTD is the data controller for personal data processed through this website and in connection with the logistics and freight services we provide. Our registered address is in the United Kingdom.

For data protection enquiries, contact us at support@abislogistics.com. We will acknowledge your request within five working days.

2. Data We Collect

We collect only the data necessary to provide our services and meet our contractual and regulatory obligations. This includes: full name and job title; business email address and telephone number; company name and registered address; shipment details, cargo descriptions, and consignment references.

When you visit our website, we may collect technical data including IP address, browser type, pages visited, and session duration through cookies and server logs. See Section 8 for our cookie practices.

3. Legal Basis for Processing

We process personal data under the following lawful bases: performance of a contract (to fulfil freight, warehousing, and supply chain obligations); compliance with a legal obligation (customs documentation, export controls, VAT records); and legitimate interests (improving our service quality and website security).

Where we rely on legitimate interests, we have assessed that our interests do not override the rights and freedoms of affected individuals. We do not rely on consent as a basis for processing operational data.

4. How We Use Your Data

Personal data is used to: process and manage freight and logistics instructions; communicate shipment status, documentation, and compliance requirements; issue invoices and manage payment records; respond to enquiries submitted via our contact form or email.

We do not use personal data for automated decision-making or profiling that produces legal or similarly significant effects.

5. Third Parties and Subprocessors

Personal data is never sold to, or shared with, unaffiliated third parties for their own commercial purposes. Where we engage subprocessors — including carrier partners, customs agents, and cloud infrastructure providers — we require contractual commitments that they apply equivalent data protection standards.

We may be required to disclose data to regulatory authorities, customs bodies, or law enforcement agencies where legally obligated. In such cases we share only the minimum data required and document each disclosure.

6. International Data Transfers

ABIS LOGISTICS LTD operates across international corridors. Where data is transferred outside the UK or European Economic Area, we ensure appropriate safeguards are in place, including UK International Data Transfer Agreements or adequacy decisions recognised by the UK Information Commissioner's Office.

7. Retention Periods

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected. Operational records related to freight and customs are retained for a minimum of six years to meet HMRC and regulatory requirements. Website enquiry records are retained for up to two years.

When the retention period expires, data is securely deleted or anonymised. Backups containing personal data are purged on the same schedule.

8. Cookies

Our website uses strictly necessary cookies to maintain session integrity and security. We may also use analytical cookies to understand aggregate traffic patterns. Non-essential cookies are set only with your consent, which you may withdraw at any time via the cookie preference panel.

Full details of the cookies we set, their purpose, and their lifespan are available in our Cookie Policy.

9. Your Rights

Under UK GDPR you have the right to: access a copy of the personal data we hold about you; request correction of inaccurate or incomplete records; request deletion where data is no longer necessary or lawfully held; object to processing based on legitimate interests; request restriction of processing pending a complaint.

To exercise any of these rights, contact support@abislogistics.com with your name, company, and a description of your request. We will respond within one calendar month. You also have the right to lodge a complaint with the UK Information Commissioner's Office at ico.org.uk.

10. Security

We apply technical and organisational measures proportionate to the risk, including encrypted data transmission (TLS), access controls limited to authorised personnel, and regular security reviews. No transmission over the internet is entirely risk-free; we maintain incident response procedures to address any breach promptly.

11. Changes to This Policy

We may update this policy to reflect changes in our practices or applicable law. Material changes will be posted on this page with a revised effective date. Continued use of our services after such changes constitutes acceptance of the updated policy.
